The complete guide
How to operate EasyPM
From never having seen it, to a receipt in your tenant’s hand and a statement in your landlord’s. 40 steps, in order. Every button is named here exactly as the screen names it, so you can keep this open beside the real thing.
Prefer to watch it first? The minute-and-a-half walkthrough covers the same ground with pictures.
Before you start
EveryoneNothing to install and nothing to pay. You can do all of this on a phone, but the first setup is easier on a laptop. Have three things to hand and the rest takes about twenty minutes.
Get your bank account details out — the account your rent already goes into.
→EasyPM never holds your money. It only prints the account on the invoice so your tenant pays you directly.
Write down your buildings and the flats in each one.
→Names are enough: Adeyemi Court, with Flat 1, Flat 2, Flat 3B and a shop.
Find your tenants' phone numbers and when each tenancy runs out.
CarefulIf you do not know an expiry date yet, put your best guess in — you can correct it later, and the reminders only start ninety days out.
If your list is long, do not type it all in yourself. Ask for the free setup and we will enter it for you, on any plan, however many flats.
Register
EveryoneTwo screens: an account, then your business. Four minutes.
Open easypm.ng and press Get started, at the top right of the page.

Add a property
EveryoneA property is the building. The flats inside it are units, and they are added next, on the building's own page.
Open Properties and press Add property.

Add a tenant
EveryoneTwo ways. Type them in yourself if you already hold their details, or send them a form and let them fill it in on their own phone. The second way is less work for you and gets you their ID, their employer and their next of kin.
The quick way: open Tenants and press Add a tenant.

WherePortfolio›Tenants›Send a tenant the form
easypm.ng/tenants→You get a link. Send it to them however you normally talk to them — WhatsApp is fine. They do not need an account to open it.
They fill it in on their own phone: who they are, their ID, work and income, next of kin, guarantor and their documents.
WhereYour tenant's phone›the link you sent
easypm.ng/kyc→It saves as they go, so they can stop and finish it later. You see Link sent, not opened yet until they start.
When it comes back, open the tenant, read it, choose the unit and press Accept and start the tenancy.
WherePortfolio›Tenants›open the tenant
easypm.ng/tenants→If something is missing, Send it back instead tells them what to fix without losing what they already typed.
Importing a list you already keep in Excel is faster than either: Tenants, then the import button beside Add a tenant.
Bill the rent, and edit a bill
EveryoneAn invoice starts as a draft with nothing on it. You add the charges, check them, then issue it. Up to that point nothing has been sent and everything can be changed.
Open Invoices and press New invoice.
WhereMoney›Invoices›New invoice
easypm.ng/invoices/new- Who is this for?

- Note on the invoice (optional)
- Rent for the year, payable before the current tenancy ends.
→A draft invoice opens. It has no number yet, because it is not a bill until you issue it.
Press Add a charge, once for each line.

- Rent, 1 Nov 2026 – 31 Oct 2027
- How many?

→The total updates as you go. A caution deposit is marked refundable and is shown as held, not earned.
To change a line, change it. To remove one, delete it. While it is a draft, nothing is fixed.
→This is the moment to get it right — see the warning below.
When it reads correctly, press Issue it.
WhereMoney›Invoices›open the draft›Issue it
easypm.ng/invoices→It takes its number, takes a serial number of its own, and becomes a real PDF on your letterhead that you can send or print.
CarefulAfter this, an issued invoice is not edited — it is voided and raised again. That is deliberate: a bill your tenant is holding a copy of should not be able to change behind them. Void this invoice asks you why, and the reason prints on it.
Take the money and issue the receipt
EveryoneYour tenant pays into your own bank account. Nothing passes through EasyPM. You tell it the money came, and it does the paperwork.
Your tenant pays by transfer, using the account printed on the invoice.
→They can send you the proof from their own screen — My rent, then the invoice.
Open the invoice and press Record a payment yourself.
WhereMoney›Invoices›open the invoice›Record a payment yourself

→The invoice moves to Paid, or Part paid if there is a balance.
The receipt is issued for you. Open it to download or send it.
→It carries its own serial number and a QR code. Anyone — a bank, the next landlord — can scan that code and see the amount and the property, and it says VOID if you ever cancel it. It never shows who paid.
If a tenant declares a payment themselves, it waits on the Dashboard for you to confirm. Nothing is marked paid on their say-so.
Rent expiry reminders
EveryoneThere is nothing to switch on. Every tenancy with an end date is counted down automatically.
Do nothing. At ninety days out the reminders begin — 90, 60, 30 and 7 days.
WhereNothing to switch on
easypm.ng/dashboard→Your tenant gets them, and so do you.
To see who is running out, open the Dashboard and press any of the expiry windows.
WhereDashboard›the expiry windows
easypm.ng/tenants/expiring→Expiring tenancies lists everybody by month or by window, so you can start the renewal conversation before the money stops.
On the Free plan, three in-app reminders a month are included. Past that they are held and you are told once — moving up to Lite turns them back on for every tenancy.
Repairs
EveryoneSo that a leak is a record with a date on it, not a phone call nobody can find.
Your tenant reports it from their own app, with a photograph.
WhereYour tenant's app›My rent›Repairs
easypm.ng/my/maintenance→It appears under Repairs with the photograph and the date attached.
Open Repairs, open the job, and hand it to whoever is doing it.
WhereDay to day›Repairs
easypm.ng/maintenance→A caretaker with their own login sees only this, and only for their buildings.
Record what it cost when it is finished.
→That figure comes off the owner's statement at the end of the month, so the arithmetic is already done.

Send it, and say how.
- How are you sending it?
- On WhatsAppBy email, on WhatsApp, or printed and handed over. It records which.
→Once sent, the figures are fixed. That is the point of a statement.
CarefulCheck it before you send. A sent statement does not change afterwards.
